How SERV handles personal information across our website, executive search work, and client portal.

1. About this policy

SERV Recruitment (“SERV,” “we,” “us,” or “our”) is an executive search and recruitment firm based in Ontario, Canada. This policy explains how we handle personal information when you visit servrecruitment.com, apply for or discuss an opportunity, work with us as a client or business contact, or use a SERV account or client portal.

This policy is intended to reflect the privacy principles in Canada's Personal Information Protection and Electronic Documents Act (“PIPEDA”) and other privacy laws that may apply to our activities. If a separate written agreement applies to particular services, that agreement may include additional privacy terms.

2. Information we collect

Depending on your relationship with SERV, we may collect:

  • Identity and contact information, such as your name, email address, telephone number, location, and preferred way to communicate.
  • Candidate and professional information, such as your resume, employment and education history, professional profiles, skills, qualifications, compensation expectations, work authorization, role preferences, interview information, references, and information you choose to share during a search.
  • Client and business information, such as your organization, title, hiring requirements, search activity, communications, and other information needed to provide recruitment or advisory services.
  • Account and portal information, such as your invited email address, account role, company access, authentication method, sign-in timestamps, and activity required to operate and secure your account.
  • Communications, including messages, contact-form submissions, meeting details, feedback, and records of our interactions.
  • Technical and usage information, such as pages visited, referrer, browser and device type, approximate location derived from a request, performance measurements, and security logs.

Please do not send sensitive information that is not reasonably needed for a recruitment or business purpose. Where sensitive information is required, we will seek the appropriate form of consent and limit its handling to the relevant purpose.

3. How we collect information

We may collect personal information:

  • directly from you through applications, conversations, forms, interviews, meetings, and your use of our website or portal;
  • from clients, employers, references, referrals, and other people involved in a search;
  • from professional networking platforms, job boards, publicly available professional sources, and recruitment technology providers; and
  • automatically through essential account technologies, security logs, and privacy-focused website analytics.

When another person provides information about you, we expect them to have authority to do so. We will identify our purpose when we contact you and obtain consent where required before using or disclosing the information for a recruitment process.

4. How we use information

We use personal information for reasonable recruitment and business purposes, including to:

  • identify and contact potential candidates and assess suitability for current or future opportunities;
  • manage applications, interviews, references, candidate presentations, offers, placements, and related communications;
  • understand client needs, conduct searches, provide reports, and deliver recruitment and advisory services;
  • create, authenticate, administer, and secure invited SERV accounts and client portals;
  • respond to inquiries, schedule meetings, and maintain our business relationships;
  • operate, protect, troubleshoot, measure, and improve our website, portal, services, and internal processes;
  • maintain appropriate business, consent, security, and audit records; and
  • comply with law, enforce agreements, and establish, exercise, or defend legal claims.

We will seek fresh consent before using personal information for a materially new purpose unless the use is otherwise permitted or required by law.

5. When we disclose information

We may disclose personal information only as reasonably necessary to:

  • Clients and prospective employers. We may present candidate information to an organization in connection with a specific opportunity, normally after discussing the opportunity and obtaining the candidate's consent.
  • Service providers. We use providers that support recruitment operations, applicant tracking, hosting, authentication, email, scheduling, analytics, security, and professional services. They are authorized to process information only for the services they provide to us.
  • Professional advisers and authorities. We may disclose information to legal, accounting, insurance, or other advisers, or to regulators and authorities where reasonably necessary or legally required.
  • Business transactions. Information may be transferred as part of a financing, reorganization, sale, or other business transaction, subject to appropriate confidentiality and legal safeguards.
  • Other parties with your direction or consent.

We do not sell or rent personal information.

6. Cookies and analytics

SERV accounts use essential cookies or similar technologies to maintain authenticated sessions, protect accounts, and provide requested portal features. Blocking essential cookies may prevent account sign-in or portal functionality.

We use Vercel Web Analytics to understand aggregate website traffic. Vercel states that this service stores anonymized data, does not use cookies, and does not track visitors across different websites. We also use Vercel Speed Insights to collect real-world website performance measurements, such as page-loading and interaction metrics. We do not intentionally include names, email addresses, resume information, or other candidate content in analytics events.

7. Processing outside Canada

SERV and its service providers may process or store personal information in Canada, the United States, or other countries. Information processed outside your province or country may be subject to the laws of that jurisdiction and may be accessible to its courts, law enforcement, or national security authorities. SERV remains responsible for personal information under its control and uses contractual or other measures designed to provide an appropriate level of protection when service providers process that information.

8. Retention

We keep personal information only as long as reasonably necessary for the purposes described in this policy, including to support current or reasonably anticipated searches, maintain business and consent records, meet contractual requirements, resolve disputes, and comply with law. Retention depends on the nature and sensitivity of the information and our relationship with you. When information is no longer required, we delete, anonymize, or securely dispose of it in accordance with our practices and legal obligations.

9. Security

We use administrative, technical, and organizational safeguards designed for the sensitivity of the information we hold. These include access controls, role-based permissions, authentication protections, secure service providers, and internal restrictions on candidate and client information. No method of storage or transmission is completely secure, and we cannot guarantee absolute security. Please contact us promptly if you believe your account or information has been compromised.

10. Your choices and privacy rights

Subject to applicable law, you may ask to access the personal information we hold about you, understand how it has been used or disclosed, or request that inaccurate information be corrected. You may also withdraw consent to future collection, use, or disclosure, or ask us to delete information, subject to legal, contractual, and reasonable business restrictions.

Withdrawing consent may limit our ability to consider you for opportunities, provide services, or maintain portal access. We may need to verify your identity before completing a request. We will explain any legal exception that prevents us from fulfilling all or part of a request.

11. Third-party websites and services

Our website may link to job boards, professional networks, scheduling tools, forms, or other third-party services. Their privacy practices are governed by their own policies. Information you submit directly to a third party is subject to that third party's terms, although this policy applies once SERV receives and controls a copy of that information.

12. Changes to this policy

We may update this policy as our services, technology, or legal obligations change. We will post the revised policy here and update the date above. If a change materially affects how we use information already collected, we will provide additional notice or seek consent where required.
